Marketing

The Marketing module works with leads and potential residents. Leads can be added and tasks can be assigned to those leads. Lead sources, both professional and non-professional, can be added along with assigned tasks. Leads can be transferred directly to pending-resident or active-resident status.

Navigating the Lead Sources Page

  • Click on either of the "Sources…" links under the "Marketing" tab.
  • This menu shows the number of professional and non-professional lead sources, separated by active and inactive sources. The numbers change when lead sources are added and removed. These boxes are clickable and will display all of the respective lead sources.
  • These buttons can be used to add new lead sources.
  • Icons on the list of lead sources show the status of tasks for the particular lead source. This is the legend for those icons.
  • A refined search of lead sources can be made by clicking on "Search Settings" in the search bar.
    • Make selections based on the search criteria wanted.
    • Click the "Search" button when done.

Add a Non-Professional Lead Source

Advertisements and websites are examples of non-professional lead sources.

  1. Click on the "Add Non-Professional Lead Source" button.
  2. Fill out the form.
    • Select a category.
    • Enter a name or title for the source.
    • The start date and end date are usually associated with advertising campaigns such as a newspaper ad.
    • Click the "Save" button to enter in further information if needed.
  3. Click the "Save" button to finish.

Add a Professional Lead Source

Hospitals and doctors are examples of professional lead sources.

  1. Click on the "Add Professional Lead Source" button.
  2. Enter the source's name.
  3. Click the "Save" button to enter in further information.
  4. Fill out the form with the source's information.
  5. Click the "Save" button to finish.

Add a Task/Note to a Professional Lead Source

Tasks/Notes are like reminders or to-do's in regards to the professional lead source. For example, if a doctor needs to be called, a task can be set as a reminder to call that doctor.

  1. Select a professional lead source.
  2. Click on the "Add Task/Note" button.
  3. Fill out the form.
    • Select a task from the dropdown, or manually write out the task if "Other" is selected.
    • Add notes and specify a priority if needed.
    • Select a due date for the task.
    • The "Signature" button is to be selected only when the task is complete.
  4. Click the "Save" button to finish.

  • Click "Select Lead" under the "Marketing" tab.
  • This menu shows the number of active leads, along with all tasks separated into different timeframes. The numbers change when leads are added and removed, and when tasks are added and completed. These boxes are clickable and will display all of the respective lead or task information.

Add a Lead

  1. Click the "Add New Lead" button.
  2. Fill out the new lead's basic information and upload a photo if applicable.
  3. Click the "Save" button to continue filling out information in the "Lead Information" form.
  4. Fill out the form.
    • A lead source can be selected, along with the inquiry method and decision status.
    • A primary contact can be added by clicking on the "Add Contact" button.
    • The information filled out in the "Resident Profile" section will automatically be saved to the resident's record if the lead is turned into a potential-resident or active-resident.
    • The "Hot Buttons" text field is for information important for a marketing person. For example, if the lead prefers to live on the second floor or close to the dining room, this information should go here. Having this information close at hand helps a tour giver or other marketing person accommodate for the lead.
    • Financial information can be entered if applicable.
  5. Click the "Save" button to finish.

Add a Task/Note to a Lead

Tasks/Notes are like reminders or to-do's in regards to a lead. For example, if a lead needs to be taken on a tour, a task can be set as a reminder to do so.

  1. Select a lead.
  2. Click on the "Add Task/Note" button.
  3. Fill out the form.
    • Select a task from the dropdown, or manually write out the task if "Other" is selected.
    • Add notes and specify a priority if needed.
    • Select a due date for the task.
    • The "Signature" button is to be selected only when the task is complete.
  4. Click the "Save" button to finish.

Navigating the Tasks Page

  • Click "Tasks" under the "Marketing" tab.
  • The tasks page works the same as the leads page. See the Navigating the Leads Page section of this help topic for more information.
  • Note that the search criteria for tasks is different than the search criteria for leads.

How to Change a Lead into an Active Resident

  1. Click on "Select Lead" under the "Marketing" tab.
  2. Select a lead.
  3. Click on "Admission" under the "Resident Information" dropdown.
  4. Click on the "New Entry" button.
  5. Fill out the form.
    • To admit the lead into the facility as an active resident, select "Admission" in the "Admission Type" section.
    • Select the corresponding button to re-admit a resident, or change the status of a lead to pending resident.
  6. Click "Save" to finish and update the lead's status.

Marketing Reports

  • Click on "Marketing Reports" under the "Marketing" tab.
  • All of the Marketing Reports are displayed here.
  • Sales Activity Report
    • This report is based on tasks. Things like move-ins/move-outs and inquires can be seen, all based on tasks.
  • Source Report
    • This report shows all the lead sources and how many referrals the facility is receiving from each source.
  • Source Graph Report
    • This report shows a graph based on the information in the Source Report.
  • Task Counts Report
    • This report shows the total number of tasks split up into different categories based on the facility.
  • Task Summary Report
    • This report shows all of the inquiries made by each marketing staff member.
