Facility Maintenance

The maintenance module has the ability to track and sign off on maintenance tasks as they are requested by staff. It is also used to document preventative maintenance items that might be set up on a monthly, semi-annual, or quarterly basis.

Setup: Maintenance

  1. Click on "Community Record" under the "Community" tab.
  2. Click on "Setup: Maintenance" under "Maintenance" in the "Setup" dropdown.
  3. Fill out the form.
    • The maintenance tasks are organized by frequency, ranging from monthly to annual.
    • Select the desired maintenance tasks in each section.
    • If applicable to the section, select the month in which the tasks should begin.
  4. Click the "Save" button to finish.

Setup: Maintenance Tasks

  1. Click on "Community Record" under the "Community" tab.
  2. Click on "Setup: Maintenance Tasks" under "Maintenance" in the "Setup" dropdown.
    • All the maintenance tasks selected in the "Setup: Maintenance" form will appear listed here organized by frequency.
  3. To add a custom maintenance task, click on the "New Entry" button.
  4. Fill out the form.
    • Select a task type and enter a name for the task.
    • Select the frequency of the task, and when the task should begin.
  5. Click the "Save" button to finish.

How to Enter a Maintenance Request

  1. Navigate to the home page by clicking on the "CareDash" tab, or navigate to the Charting page by clicking on "Charting" under the "Charting" tab.
  2. Click on "Maintenance Request" in the "Quick Tasks" module.
  3. Fill out the form.
    • The first two sections are for the staff member who is entering the maintenance task.
    • The "Repair Actions" section is for the maintenance worker who completes the task.
    • Note that the "Staff Signature" button is for the maintenance worker, not the staff member.
  4. Click the "Save" button to finish.

Once saved, the maintenance task will be generated, and the maintenance worker will receive a notification.

Navigate to the Maintenance Monitor

  1. Click on "Community Reports" under the "Reports" tab.
  2. Click on "Maintenance Monitor."

Maintenance Checklist

  1. Click on the "Maintenance Checklist" link on the "Maintenance Monitor" page.
  2. Fill out information for each maintenance task as necessary.
    • All the incomplete maintenance tasks are listed here according to frequency of the task.
    • Click on the "Staff signature" button to indicate that the task has been completed.
    • Indicate the time spent on the task and the actions taken.
  3. Click the "Save" button to finish.

Preventative Maintenance Review

  1. Click on the "Preventative Maintenance Review" link on the "Maintenance Monitor" page.
  • All of the preventative maintenance tasks are listed here along with a time and date stamp of who complted the task. The tasks are organized by community, due date, and type. Fire/Disaster Drills will show the last 12 months.
